Custom fields allow you to capture data related to characteristics of an asset or material that would otherwise not be captured using the standard fields offered by Maintainly. Things like dimensions, weight, notes, restrictions, and so on, might be used as generic custom fields.
Custom fields can be one of the following data types:
Text (80 characters)
Long Text (2,000 characters)
Number
Date
Checkbox
Using custom fields
Custom fields can be added to either assets or materials to capture data points, either to simply store them in order to refer to them later, or to be used when filtering a list of assets or materials, using the advanced filer.
Once implemented, custom fields will appear at the bottom of the advanced filter on their respective assets or materials list page:
Steps to implementing custom fields
There are three steps to implementing custom fields:
Create a custom field (that's applicable to either assets or materials);
Associate the custom field (to a specific asset or material);
Populate the custom field (with data as it relates to a specific asset or material).
Create a custom field
Before utilising a custom field, you must first create one, as described above..
To create a custom field:
Navigate to either Assets or Materials in the left side menu;
Click the advanced filter icon (located to the right of the filter);
Scroll to the bottom of the advanced filter and click Add custom field;
TIP: Both asset and material custom fields can also be added by navigating to Settings > Custom Fields in the left side menu)
Define the required fields, including a name (try keeping it concise), description (this will appear on-screen to guide your users), type*;
* type cannot be changed once the custom field is established.
Click Confirm;
Follow the steps below to associate the custom field with either an asset or a material.
Archive a custom field
To archive a custom field:
Navigate to System > Custom fields in the left side menu;
Click the three-dot menu at the right of the screen that corresponds to the custom field that will be archived;
Click Archive;
Click Confirm.
