Replace an asset via a task
Replacing an asset differs from consuming a material because the asset exists as an entity, complete with unique identifiers such as a serial number and perhaps even a maintenance history. It is therefore essential that caution is taken when removing an asset from the hierarchy when another takes its place.
Before an asset can be replaced via a task, there are some prerequisites that may be the responsibility of your system administrator:
The outgoing asset must already exist in the asset hierarchy, either at a site or a store;
Likewise, the incoming asset must already exist. This asset may have been added when purchased via an order, added manually to a site or a store, or have previously been removed from a parent asset and moved to a site or store and be a top-level asset in the asset hierarchy;
Both the incoming and outgoing assets must have a unique serial number assigned to them (If not, add the serial numbers before attempting an asset replacement);
To replace an asset via a task:
Navigate to Tasks;
Filter for and then click the task being used to record the asset replacement (or add a new task);
Navigate to the Materials tab;
Filter for and then select the asset model that was used. Maintainly will recognise this material as an asset replacement (since it's an asset model and not merely a material) and will therefore request additional information;
Enter the unique serial number of the incoming asset and then click to select it when it appears below the filter;
Click the dropdown and change to replace an existing asset;
Expand the asset hierarchy and mark the radio button next to the asset that is to be replaced;
In the store dropdown, nominate the location where the outgoing asset will be moved to;
TIP: If appropriate, a new asset value can be nominated or the asset can be retired directly but this must be done by an administrator user directly in the asset settings.
Click Confirm;
Continue to add any other materials that were used during the course of this task;
Proceed with completing the task, as appropriate.
