Add files to preventative maintenance task templates

Manuals, instructions, checklists, photos and editable pdf's required for preventative maintenance can be added to task templates.

When performing preventative maintenance tasks, it's not uncommon for files (usually pdf's, but perhaps images too) such as manuals, instructions, checklists and editable pdf's to be required each and every time that the preventative maintenance task is performed.

Files can be added to a task template that will then automatically be added to the tasks every time an automation triggers a tasks.

There are two methods by which files can be added to a task template:

  1. Add a file to the Procedure field - normally used for files that always, or usually need to be used (eg. a pdf checklist required to be completed for that preventative maintenance), or;

  2. Add a file in the Files tab - normally used for files that may need to be referred to when performing maintenance work. Note that after an automation generates a task using a task template, the files associated with that asset or asset model will also be available on the task.


Add directly to procedure of a task template

When a particular files or file is always, or usually required to be completed, used, or referred to when performing a particular preventative maintenance task, it's best to add that files directly to the procedure field of the relevant task template.

To add file to a task template:

  1. Navigate to Tasks > Task Templates;

  2. Filter for and then click the title of the task template that requires the file to be added to the procedure;

  3. Drag & drop the file into the Procedure field in line with where in the procedure you would like the file to appear. Wait for the file to fully upload;

  4. Click Confirm.


Add via the Files tab of the task template

To add a file to a schedule:

  1. Navigate to Tasks > Task templates;

  2. Filter for and then click the title of the task template that requires the file to be linked;

  3. Click the Files tab;

  4. Click Add files;

  5. Drag files in, or click Browse Files and the select the relevant file;

  6. Click Confirm.

  7. Modify the title of the file, if required;

  8. Click Confirm.
