Which assets should be labelled?
When a QR label is scanned using the Maintainly mobile app to retrieve tasks for a particular asset, tasks on sub-assets (or, child assets) will also be returned. Therefore, we do not recommend labelling every asset, just strategic assets within the asset hierarchy.
Example:
ABC Hotel asset hierarchy consists of:
Two towers
Each tower has multiple floors
Each floor has many rooms
Each room has many assets
In this scenario, it would usually be recommended to add QR labels only at the room level of the hierarchy (physically located inside the door jam, for example).
When the QR label is scanned, all tasks related to all assets within that room will be returned.
You may also consider adding a QR label at the floor level (eg. at the door to the janitor closet) if the hallway has many common assets, or if regular preventative maintenance tasks (eg. quarterly hallway carpet steam clean) were being generated concerning that area.
Consideration may also be given to the uniqueness and traceability of individual assets if adding more QR labels further down the hierarchy.
QR label options
There are two options for accessing asset QR labels:
Purchase high-quality (either commercial or industrial qualities), pre-printed labels from Maintainly, or;
Print directly to your own label printer locally.
1. Purchase high-quality asset QR labels
Maintainly has partnered with Camcode, a world leader in asset labelling and tracking services.
Pre-printed asset QR labels are vastly superior in quality, particularly in longevity, to those printed locally. There are two qualities available:

2. Print asset QR labels locally
Maintainly asset QR labels can be printed locally, when and as required.
You will require a printer (any brand) specifically designed for printing labels, or make the necessary adjustments to the settings of a regular printer if printing to label sheets.
Here are some important guidelines for printing QR labels locally:
Each label is unique. Duplicate labels should never be used on different assets.
A maximum of 200 labels can be printed at a time;
You can have a maximum of 1,000 unassigned labels at any time. It's therefore essential to assign existing labels before printing more.
If re-printing an assigned QR label, ensure that it is placed only on its assigned asset.
If you experience minor sizing and alignment issues, the 'scale to fit' printer setting may help.
To print new, unassigned asset QR labels:
Navigate to Assets;
Click the three-dot menu located on the right of the screen;
Click Print QR labels;
Read the guidelines and restrictions and then check the box to signal your understanding;
Nominate the quantity of labels required;
Nominate the dimensions of your labels;
NOTE: QR labels can only be printed in landscape format.
Click Confirm.
To reprint an existing assigned QR label:
NOTE: Purchased metalphoto foil and premium poly cannot be reprinted locally.
Navigate to Assets;
Filter for and then click the appropriate asset;
Click the three-dot menu located on the right of the screen;
NOTE: If the three-dot menu is not available, this means that either your permission level is insufficient to access it, or the asset QR label was a purchased label, not a locally printed label.
Click Print QR label;
Click Confirm
Assign QR labels to assets
Asset QR labels can only be assigned to assets using the Maintainly app (iOS or Android).
Download the iOS app or the Android app.
To assign a QR label to an asset:
Click the left side menu (top left of screen);
Click Assets;
Ensure you have a single QR label ready (it's usually best to first attach the QR label to the asset prior to scanning);
TIP: Ensure the surface has been cleaned thoroughly before applying the QR label. We recommend the use of alcohol wipes.
Tap the QR icon to the right of the filter field;
NOTE: In the first instance, you will be asked to permit Maintainly to access your camera. You must permit this to be able to scan QR labels.
The camera will be engaged. Hold the camera over the QR label;
Navigate through the asset hierarchy to find the exact asset that is to be associated with the QR label;
Tap Assign QR code to confirm.
